A 6-advisor firm required every client meeting to be summarized in the CRM — decisions discussed, action items, disclosures mentioned. This was taking 30–45 minutes per advisor per meeting, mostly from memory after the fact. Results were inconsistent. Junior advisors were especially inconsistent, and compliance staff spent time chasing missing notes and correcting incomplete records. Everyone knew it was the right thing to do and nobody had enough time to do it well.
We built an AI agent system that takes meeting transcripts from Zoom or Teams recordings, extracts structured information — decisions made, action items with owner and deadline, products or strategies discussed, disclosures mentioned — and produces a structured summary tagged 'AI-generated draft — requires advisor review.' The draft is pushed to Salesforce as a note. Advisor reviews, edits if needed, and approves. Approved version is timestamped and locked.
Post-meeting documentation time dropped from 30–45 minutes to 5–8 minutes of review. Notes quality improved across all 6 advisors — junior advisors' records went from frequently flagged to consistently passing compliance review. The compliance team stopped chasing missing notes and shifted entirely to handling exceptions.
